Phone showing the booking page of Hausarztpraxis am Markt: a visit reason is selected and Tuesday 10:30 is free.

1 · Book

Monday, 21:14. Booked from the sofa.

The patient picks the reason for the visit and the time, without an account. Reception spends less time on the phone, and your practice system stays.

Lock screen on Tuesday morning with a text from the practice: a reminder for the 10:30 appointment with a link to confirm.

2 · Remind

You decide when and how often Tempulo sends reminders.

By email and, if no confirmation comes, by text message. One tap on the link confirms the appointment — the practice sees it straight away.

Phone above the reception desk of Hausarztpraxis am Markt: check-in is confirmed, arrived at 10:27.

3 · Arrive

10:29. Arrived.

Scan the QR code or NFC tag at reception and tap “I’m here”. Reception sees it in the day view — nobody has to queue at the desk.

Built for medical practices

Reminders that ask for a confirmation.

An appointment nobody cancels is often only gone on the day itself. The Tempulo reminder asks for a confirmation — and releases the slot early enough if none arrives. The waiting list moves up instead of reception chasing calls.

Our goal for the pilot phase: a third fewer no-shows after 90 days. Without replacing your practice management system.

  • Email and SMS with confirm and cancel links
  • Without a confirmation the slot is released — visible to the team
  • The waiting list moves up automatically
  • Allowance empty? The channel falls back to email instead of quietly running up a bill

Part of the pilot phase

Your practice online: appointments without the phone, reminders with a confirmation, a live waiting room.

  • Booking page and widget

On your own domain or embedded in your website. No one else's brand above your appointment.

  • Building blocks for your website

Surgery hours, services and team as ready-made elements, plus deep links straight into the right booking. The snippet generator in the dashboard produces the code.

  • One calendar across team and rooms

Doctors, practice nurses, treatment rooms and equipment as resources. An appointment that would clash never comes into being.

  • Appointment types by insurance status

Your own appointment types, durations, preparation and follow-up time — and booking windows you open separately for statutory, private and self-paying patients.

  • Reminders that ask for a confirmation

Email and SMS, with confirm and cancel links. If an allowance runs out, the channel falls back to email.

  • Follow-ups, series, waiting list

Fixed follow-up appointments, group appointments with a place count, and a waiting list that moves up by itself.

  • Waiting room and day-to-day operations

A board from “expected” to “finished”, waiting times and delays calculated rather than guessed, a delay announced with one click.

  • Self check-in and proof of insurance

By QR code at the entrance, on a kiosk tablet, or with surname and date of birth. Whether proof of insurance was presented this quarter appears on the appointment — as a status, without card data.

  • Messages instead of callback notes

Patients write from the appointment link or from their account, and the practice replies from one inbox. Every message sits in the record.

  • Patient record and documentation

History, master data, consents and notes per appointment in one place. Notes are encrypted at field level, and returning patients are recognised even after a guest booking.

  • Qualifications and expiry dates

Services require certificates, Tempulo checks them for the appointment date — and flags expiring certificates 60, 30 and 0 days ahead.

  • Roles, access and two-factor

Owner, administration, reception, practitioner — per location. Whoever treats sees their own slice, not the whole practice. Sign in with single sign-on or two-factor, with recovery codes.

  • Calendar sync and absences

Google and Microsoft calendars in both directions, public holidays by region, practice holidays — and absences straight from your staff planning.

  • Migration, import and export

Map your patient list from the old system in the browser, send the migration notice only after a preview, parallel operation included. Export and subject access at any time.

  • Figures for the day

Utilisation per practitioner, median waiting time and the top decile, punctuality and no-shows — calculated from the day as it runs, not from a survey.

  • German and English

Both languages from day one, time zones and public holidays included.

Coming afterwards

Integration with your practice management system, forms and video consultations follow — without an extra subscription and without a surcharge on the plan.

  • Intake forms and consents with signature
  • Video consultations without an extra subscription
  • Deposits and no-show protection
  • Integration with your practice management system
  • Reports across periods, not just the day
  • WhatsApp as a reminder channel

New: the day as it runs

The day is not in the calendar. It is on a board.

A calendar shows what was planned. It does not show who has been sitting in the waiting room for twenty minutes, who has not arrived yet, and how far behind the surgery is running.

Tempulo moves every appointment through five columns — expected, arrived, called, in treatment, finished. Waiting time and delay come from the timestamps, not from an estimate. Anyone waiting too long turns colour; anyone who does not turn up is recorded as a no-show with a suggested follow-up.

  • Self check-in by QR code, kiosk tablet, or surname and date of birth
  • Announce a delay once — everyone affected that day is notified
  • A slot that frees up goes to the waiting list, without anyone picking up the phone
  • This quarter's proof of insurance as a status on the appointment — without card data
  • Daily figures: utilisation, median waiting time, top decile, punctuality, no-shows

The difference

Why not Doctolib or the scheduling module of your practice system?

Your practice management system bills and stays. Tempulo covers everything before that: booking, reminders with a confirmation, check-in, waiting room, messages — in one system instead of five. These four points argue against what you have — against health portals, general-purpose scheduling tools and the scheduling module of practice software.

Your patients stay yours
Tempulo is a tool, not a marketplace. You keep your booking page, your domain and your brand; a directory may follow later as an additional channel, not as a condition.
Built for health data
Consents, retention periods and deletion concepts are part of the data model — including the particular requirements for professionals bound by confidentiality.
Your practice management system stays
Tempulo does not bill and does not replace a primary system. Payer billing, health telematics and the electronic patient record stay where they are — the integration follows in phase 2.
No contract that holds you
Cancel monthly, no minimum term, no set-up fee. Your data leaves with you in full and machine-readable.

Questions

What medical practices ask first.

Your question is not listed? Write to us — we answer ourselves, not from a template.

Can I see a demo first?

Yes. Under Online demo you pick a free slot — 30 minutes live over Microsoft Teams, with no obligation. Afterwards you decide whether a pilot place fits.

Who is the pilot phase for?

For medical practices that want to offer online booking to every patient early on and tell us what is missing day to day. Billing and health telematics are deliberately out of scope — that follows later through the integration with your practice management system. After your enquiry we agree the specific start date in conversation.

Do I have to replace my practice management system?

No. Tempulo takes over appointments and patient communication. Billing, service codes and health telematics stay in your existing system. Integration with the common systems follows in phase 2.

Can patients with statutory insurance book online too?

Yes. The pilot phase covers every patient. Tempulo does not bill payers — your practice management system remains responsible for that.

Who owns my patients' data?

You do. We process it on your behalf; the data processing agreement is included with every plan at no extra cost. A complete, machine-readable export is possible at any time.

What does being a pilot partner mean?

The first pilot practices pay half for twelve months. What we ask in return is work, not a discount: regular, structured feedback and a willingness to be named as a reference.

Does every team account cost extra?

No. You pay for active practitioner calendars, not for people. Practice nurses and administration get as many accounts as the practice needs — each with its own role per location and a visibility scope that shows practitioners only their own slice.

Does Tempulo read the insurance card?

No. Tempulo only tracks the status: whether proof was presented this quarter. No card data, no insurance number, no card reader — reading the card stays with your practice management system. At check-in, reception and patient can still see what is missing.

How do I move from my current system to Tempulo?

With the migration assistant: you export your patient list, map the columns in the browser — the file itself never reaches our server — and approve the preview. Plus a checklist for parallel operation and a migration notice to every patient with an open appointment, which you send only after the preview.

Is the interface accessible?

WCAG 2.2 AA is an acceptance criterion for every patient-facing screen, not an afterthought. It is tested automatically on every change, manually with keyboard and screen reader before every release, and externally before going live.
